The policy applies to patients, prospective patients, family members, authorized representatives, nurses, caregivers, other healthcare professionals, healthcare organizations, staffing contacts, account administrators, website visitors, and other users.

Health information and HIPAA

How health-related information and protected health information may be handled.

A patient, family member, authorized representative, healthcare professional, or healthcare organization may sometimes provide health-related information so that a staffing or care request can be understood and routed appropriately.

Not all health-related information held by a private company is automatically “protected health information” under HIPAA. HIPAA applies only in defined circumstances. TrabajoHub may act as a business associate when it performs qualifying services for a HIPAA-covered entity and receives or maintains protected health information on that entity’s behalf.

  • Where required, TrabajoHub may enter into a Business Associate Agreement with a covered entity.
  • Protected health information is used and disclosed only as permitted by the applicable agreement, authorization, and law.
  • TrabajoHub seeks to limit access and disclosure to information reasonably necessary for the permitted purpose.
  • Requests involving access, amendment, restriction, or accounting may need to be handled by, or coordinated with, the responsible covered entity.
  • Users should avoid submitting unnecessary clinical records, highly sensitive information, or emergency information through general forms or support channels.
04

How we use information

Service delivery, staffing, review, safety, payments, compliance, and improvement.

We may use information to:

  • Create, maintain, secure, authenticate, and support accounts.
  • Connect healthcare professionals with approved staffing opportunities and care requests.
  • Review organization profiles and staffing requests before publication.
  • Review professional profiles, credentials, availability, and eligibility information.
  • Facilitate communications, scheduling, contracts, transactions, support, and service administration.
  • Provide mobile notifications, account alerts, opportunity updates, and requested communications.
  • Prevent fraud, abuse, duplicate postings, unauthorized access, security incidents, and other harmful conduct.
  • Comply with legal duties, lawful requests, contracts, audits, tax obligations, disputes, and enforcement requirements.
  • Analyze performance, diagnose technical problems, improve features, and develop new services using data permitted for those purposes.
  • Protect patients, families, professionals, organizations, TrabajoHub, and the public.
05

How information may be shared

Professionals, organizations, service providers, legal disclosures, and business transactions.

We may disclose information in the following circumstances:

  • With healthcare professionals or organizations when reasonably necessary to evaluate, coordinate, or perform a requested opportunity or service.

  • With consent, direction, or authorization from the relevant individual or organization.

TrabajoHub does not sell protected health information. We do not permit service providers to use protected health information for their own independent marketing.

06

Professionals and organizations

How profile and staffing data may be visible or exchanged.

Healthcare professionals may provide profile information so organizations can evaluate suitability for approved opportunities. Organizations may submit staffing needs that TrabajoHub reviews before publication.

  • Not every profile field is necessarily visible to every user.
  • Contact details and sensitive documents may remain restricted until permitted by the workflow or applicable agreement.
  • Organizations must use professional information only for legitimate staffing, onboarding, compliance, and related purposes.
  • Professionals must provide accurate, current, and lawful information.
  • Both sides should avoid sharing unnecessary patient or highly sensitive information through unsecured communications.
07

Mobile app, cookies, and analytics

Device permissions, app diagnostics, cookies, logs, and measurement tools.

TrabajoHub may use cookies, local storage, SDKs, pixels, log files, and analytics technologies to operate and secure the service, remember preferences, understand usage, measure performance, and improve the user experience.

  • The mobile app may request device permissions such as notifications, camera, photo access, or approximate location when needed for a feature.
  • Users may manage many permissions through device or browser settings, although disabling them may limit functionality.
  • We may receive crash reports, device identifiers, app version, operating system, and diagnostic information.
  • Advertising or analytics tools, where used, are subject to configuration, contractual restrictions, and applicable law.
  • TrabajoHub does not intentionally use protected health information for targeted advertising.
08

Security safeguards

Administrative, technical, and organizational protections.

TrabajoHub uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure.

  • Access controls, authentication, role-based permissions, logging, and account-security measures.

  • Workforce confidentiality and security responsibilities.
09

Data retention

How long information may be kept and why deletion may be limited.

We retain information for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining records, supporting users, resolving disputes, enforcing agreements, protecting safety, preventing fraud, and satisfying legal, tax, regulatory, healthcare, and contractual obligations.

Retention periods vary by information type, account status, relationship, jurisdiction, and operational need. Backup or archival copies may remain for a limited period after information is removed from active systems.

10

Privacy choices and rights

Access, correction, deletion, communications, and applicable legal rights.

Depending on the law that applies and the nature of the information, users may have rights to request access, correction, deletion, restriction, portability, appeal, or information about certain disclosures or processing.

  • Update available account and profile information directly.
  • Unsubscribe from non-essential marketing communications while continuing to receive service and security notices.
  • Submit a privacy request through the TrabajoHub Support page.
  • Request assistance concerning information maintained for a healthcare organization.

TrabajoHub may verify identity and authority before completing a request. A request may be denied or limited when permitted by law, including when retention is required for legal, healthcare, security, fraud-prevention, contractual, or recordkeeping purposes.

11

TrabajoHub is based in the United States and may process information in Florida and other U.S. locations. Federal and state privacy, consumer, healthcare-record, breach-notification, employment, and professional laws may apply depending on the user, information, service, and relationship.

Some state privacy laws apply only to businesses meeting specified thresholds or to particular categories of data and users. TrabajoHub will honor legally required rights when the relevant law applies.
